How much does AI automation cost for a small business in the UK?

Stick-figure illustration: a small robot carrying envelopes along a conveyor from an inbox to a filing cabinet while a business owner relaxes with a mug

TL;DR

AI automation has three costs: tools (often £20 to £100 a month for a small business), the build (UK agency guides put a first automation at about £1,500 to £5,000), and upkeep. Simple jobs inside one or two apps you can often do yourself. Pay for help when it touches customer data or joins several systems.

Why trust this page: I set up AI automations for small businesses, so I have an interest here, and I'll say where I'm not the right fit. Tool prices come from the makers' own pricing pages. The build-cost figures come from UK agencies, which I've labelled, because nobody has published an independent survey.

The three costs: tools, build, upkeep

AI automation means wiring an AI tool into the work you already do, so a job that used to be manual happens on its own: an enquiry lands, gets logged in your CRM, and a reply is drafted for you to check. It's catching on. The ONS found around 35% of UK businesses with 10 or more employees used AI in June 2026, up from about 12% in late 2023, and 28% of businesses with fewer than 10.

Whatever you automate, you pay in three places:

  1. Tools: the AI subscription and the software that connects your apps.
  2. The build: working out the process and setting it up, whether you do it or pay someone.
  3. Upkeep: usage charges, fixing things when an app changes, and support if you want it.

Tools and subscriptions

For most small businesses, tools are the smallest cost. Prices below are from each maker's pricing page in October 2026. Some are in dollars or euros because that's how they're published.

  • ChatGPT: Plus is £20 a month per person in the UK.
  • Claude: Pro is $20 a month, or $17 a month billed annually. Team seats are $25 a month each, or $20 billed annually, for two or more people.
  • Zapier (connects your apps): a free plan with 100 tasks a month; Professional from $29.99 a month, or $19.99 billed annually, for 750 tasks; Team from $103.50 a month, or $69 billed annually, for 2,000 tasks. Zapier can bill in pounds.
  • n8n (a cheaper, more technical alternative): Starter is €20 a month billed annually for 2,500 workflow runs, and Pro €50 for 10,000.

Add VAT where it applies. A small business running one or two automations can often stay at £20 to £100 a month all-in on tools.

Building the automation

This is where the money goes, and where prices vary most. There's no independent survey, so here are two UK agencies' published figures. Both are written by firms that sell this work, which they say openly.

  • AI Agency Plus (updated July 2026) puts a discovery phase at £500 to £2,000, a first automation at £1,500 to £5,000, a departmental build at £5,000 to £20,000, and a multi-system programme at £20,000 to £50,000 or more.
  • Softomate Solutions (updated October 2026) lists "from" prices, excluding VAT: £1,500 for a simple automation or FAQ chatbot, £3,000 for an API integration, £4,000 for an AI integration, £5,000 for a custom chatbot and £8,000 for a voice agent.

Read those as starting points. The same job can cost very different amounts depending on how many systems it touches and how tidy your data is.

Running and support costs

Once it's built, an automation keeps costing a little. AI Agency Plus estimates running costs of £40 to £400 a month, and ongoing agency support at £350 to £3,000 a month. Softomate's monthly plans run from £99 to £499, with platform and usage charges on top.

The bit people forget is maintenance. When one of your apps changes how it works, automations can quietly break. Someone has to notice, and someone has to fix it.

A worked example

Take a common first automation: a website enquiry is logged in your CRM, and an AI drafts a reply in your voice for you to check and send.

  • Tools: Zapier Professional at about $20 to $30 a month, plus ChatGPT Plus at £20. Call it £35 to £45 a month.
  • Build: if you pay an agency, the guides above put a first automation at roughly £1,500 to £5,000.
  • Time saved: if it saves five minutes on each of 60 enquiries a month, that's five hours a month back.

That's my arithmetic on the published prices. Use your own numbers: the more often the job happens, the faster it pays for itself.

What pushes the price up

  • Number of systems. One app talking to another is simple. Five is a project.
  • Messy data. Duplicates and inconsistent fields in your CRM make everything slower and more fragile.
  • Off-the-shelf or custom. Connecting existing tools is far cheaper than building software.
  • Customer data. Anything touching personal data needs care under UK GDPR: what goes into the AI, where it's stored, and who can see it.
  • Who maintains it. If nobody in the business can fix it, you'll pay someone to.

DIY or pay someone?

Do it yourself when the job lives in one or two apps, the steps are always the same, and it doesn't matter much if it fails for a day. Zapier's free plan and an AI subscription will take you a long way.

Pay for help when the automation touches your CRM or customer data, joins several systems, or needs to run reliably without you watching it. A badly built automation creates more work than it saves.

That's the work I do. AI set-up runs inside my monthly subscription, at £995, £1,950 or £3,950 a month, rather than as a separate project fee: an AI workflow automates and documents one process in three to seven days, and a rollout builds two or three. I start with a Source of Truth, a document your AI reads first so the drafts sound like you. It's not the right fit if you need custom software, voice agents at scale, or a team building several systems at once. Prices are on the pricing page.

Questions to ask before you buy

  1. Which job, exactly, and how often does it happen? No clear job, no automation.
  2. What tools will I pay for on top? Get the monthly running cost in writing.
  3. Who owns the accounts? Your Zapier or n8n account, your AI subscription, your data.
  4. What happens when it breaks? Who notices, who fixes it, and is that included?
  5. What data goes into the AI? Ask which plan is used and whether it trains on your data.
  6. Will I get written instructions? You should be able to see how it works and switch it off.

The practical summary

Budget for three things: tools at around £20 to £100 a month, a build that UK agencies put at roughly £1,500 to £5,000 for a first automation, and some upkeep. Start with one job that happens often and always follows the same steps. Do simple ones yourself, and get help for anything that touches customer data or several systems. Fair questions

How much does AI automation cost for a small business in the UK?

Most small businesses face three costs: tools (often £20 to £100 a month), building the automation (UK agency guides put a first automation at roughly £1,500 to £5,000), and upkeep. One UK agency estimates a realistic first-year budget of £5,000 to £8,000 all-in.

What are the monthly running costs of AI automation?

For a simple set-up, often tens of pounds a month: an AI subscription such as ChatGPT Plus at £20 per person, plus an automation tool. Zapier starts free and its entry paid plan is $19.99 to $29.99 a month. Agency support retainers, if you want one, add hundreds to thousands a month.

Can I set up AI automation myself?

Often, yes, for simple jobs inside one or two apps, using tools like Zapier or n8n and an AI subscription. It's worth paying for help when the automation touches your CRM or customer data, joins several systems, or needs to keep working without you watching it.

Is AI automation worth it for a small business?

It's worth it when it removes a job that happens often and follows the same steps, such as logging enquiries, drafting replies or summarising calls. Work out the hours saved per month and compare that with the build and running costs before you start.

How many UK businesses use AI?

The ONS found around 35% of UK businesses with 10 or more employees used AI in June 2026, up from about 12% in late 2023. For businesses with fewer than 10 employees the figure was 28%.
